Compliance Documents Amazon EU Sellers Need¶
An Amazon EU seller needs four documents in order before listing: the CE declaration (where applicable), the GPSR technical file and safety information, the Responsible Person details, and the product warnings. Each one must be verifiable when the marketplace asks.
The four documents¶
- CE Declaration of Conformity: for products in CE scope, listing directives, standards, and the manufacturer
- GPSR file: safety assessment, instructions, warnings, and traceability, with the EU Responsible Person named
- Responsible Person details: contactable EU entity for each product
- Warnings and labels: in the required languages, matching the listing
What Amazon actually checks¶
Marketplaces do not audit your technical file in detail. They check that the documents exist, that the names and model numbers match the listing, and that the Responsible Person is real and reachable. Mismatches are the most common suspension trigger, not missing tests.
Building the file so it survives a check¶
- Use one product record per ASIN with exact model and brand names
- Attach supplier declarations and test reports to the record, not to a chat history
- Publish a public compliance page per product, so the marketplace team and customers verify instantly
- Update in place when a supplier, address, or standard changes
Frequently Asked Questions¶
Does Amazon require a specific document format?
No, but a link to a public, verifiable page resolves requests faster than uploading PDFs repeatedly. The document must be traceable to the seller and the product.
What if I sell the same product on other marketplaces?
One structured record feeds all of them. The GPSR file, CE declaration, and warnings are the same documents everywhere.
When should I update the documents?
On any change to the product, supplier, standards, or Responsible Person. Regulators treat an outdated declaration like a missing one.
